Sales Staff Training

We recommend training your sales staff using the following information when it comes to processing payments such as a credit card to ensure the authorization code is processed before your staff gives a receipt and merchandise. When processing a credit card via Masterpiece it is important that the system receives an authorization code before you give the customer their merchandise.

Note: In order to process credit cards you must have an Account with Merchant Warehouse (or X -Charge) and have the software installed and configured. Then you must configure Masterpiece which you can do via these instructions. Please call us if you would like Merchant Warehouse's information, they typically meet or beat the rates of whomever you are currently using.

To Properly Process a Credit Card

Process the Transaction like normal until you get to the payments tab.
When you click on the payments tab it will add a single payment and the Pay Type defaults to Cash.

Using your Tab key, Tab over to the Pay Type field.
This will highlight the field.

You can either double-click the word Cash in that field to pick a Pay Type ...

 

Or you can start typing Visa, MCard, or AMEX and when you see the Pay Type displaying you can hit your Tab key to populate that Pay Type.
In the example below I have typed "v" and Visa is now showing, so then hit Tab so it will populate the Visa Pay Type.

If you have a Credit Card Reader attached and the settings activated in the Company Settings you will see the following prompt to swipe the Credit Card.

IMPORTANT NOTE: By swiping the Credit Card it fills in the Card Num, Exp, and Card Name fields for you so you do not have to type them in, it DOES NOT process the Credit Card or get an Authorization Code. This helps eliminate typos by using a credit card reader.

If you do not have a credit card reader then tab to the Card Num field and type in the number, then tab to the expiration field and type in the 4 numbers, then tab to the Name field and type the name on the credit card. We recommend double checking what you have typed against the card before you process the card to help avoid typos and errors.

Tab to the Auth/DL field and hit tab one more time.
You will be prompted to process the Credit Card if you have this feature turned on in the company settings.
Click Yes.

It will fill in the Authorization Code like in the example below OR it will give a message explaining why it could not process the Credit Card, which you can retry if the customer advises they are sure the card is good. Or the customer can provide a different credit card and you can delete all payments and re-add a payment and start the process from the beginning.

It is important that the person processing the Credit Card waits and makes sure there is an Authorization Code and Saves the Transaction BEFORE giving the Customer the Receipt/Ticket and the Merchandise.

By training your staff to verify there is actually an authorization code in the transaction and saving the transaction before they give the customer the receipt, you will ensure they have valid credit card information and the card is valid and can be processed for payment from the Credit Card Company.
