Modify Label Layout

Important Note: It is very important that you backup your Reports before doing any modifications so you have a copy of the Reports before your modifications. This is so if you make a mistake and you cannot figure out how to fix it you can restore the Reports and start from scratch. It is also important to Backup your Reports once you have modified and tested to be sure your modifications work. If you save the Reports twice in one day you will need to rename the backup slightly so it does not overwrite your first backup as the default Report file name is MGMREPS20051220.zip (the 20051220 represents the date of 12/20/2005 and the system changes this daily).

The major difference is that while a report is set up to print ONE TO A PAGE, a label can be formatted to print several copies on a single page. So, even though Labels are set up in the same way reports are set up, we have to be more careful with margins on the Label.

Labels and Reports are very similar in how they function and how to modify them. We recommend you read the following topics in addition to this topic before doing any modifications. When you select Tools, Modify Label Layout, from the menus, a selection form will open where you can select the label to modify. Double-Click on the label you want to change. You will not be able to preview the label as you are not in a data area. If you would like to preview as you customize you would need to go to Print and pick whichever report or label you want to customize so while in the report or label you can right-click on a blank area in the report or label and choose Preview from the pop-up menu.

To create a brand new label, enter the label name in the New Label text box. Please keep in mind it is much easier to create a new label from an existing label by copying the 2 files that make up the label from the Reports folder in windows explorer and renaming them and then making your changes.

A good label to practice on is the CONTACTLAB.

This is set up for the 1" height x 2 5/8" length Label. To change the HEIGHT of a label, simply move the Detail bar up or down the page or double click on the band and enter the height. To change the width of a label, you will need to open the Page Setup screen from the File menu.

To change the major formats for the label, click on File, Page Setup on the Menu Bar.

This screen is used to set the number of columns, the width of each column, and the spacing between labels.

When you have set these values, click OK.

Tip: You can specify whether you want to have the text on a label move up to eliminate blank lines, like when you have a field for company, but the contact doesn't actually have a company name.  You do this with the "Remove line if blank" check box on the Print When screen - as indicated below.

When you are finished modifying the label, Click the label icon in the upper left corner of the modify window, then click on close. You can also close the modify window by pressing Ctrl-F4 on your keyboard. You will be prompted to save your changes.
