System wide Security Levels are established in the Staff Security Levels screen.
Each staff member is assigned a particular system security level in the Staff Add/Edit screen.
There are TWO general types of security for the system.
For Menu Level Security, a staff member must have a specified level before the entry will show up in their menus.
With Object Level Security, the staff member may be able to open a form, but not view/modify a particular field.
Only an administrator level operator can change menu level security.
Begin by noting the actual menu you want to limit access to.
Click on File, Staff, Menu Level Permissions.
This will open the Menu Level Permissions form.
Scroll down to the entry you wish to limit access to and modify the level.
For example, if you only want administrator level operators to be able to print the staff commissions report, set that line to 99.
If you set a level at, say, 40, any operator with a level of 40 or higher will be able to view the menu.
Note: As always, you must press Edit before you can modify a line.
Each form that you use to enter data has objects on it. For example, on the Item form (example below) the Show Costs object is a "Check Box". The PO Location object is a "Drop Down." The Vendor object is a "Text Box."
Each of the objects has a "special" parameter that sets the security level required to edit or view the object.
Suppose that you decided that you did not want sales people to see the Vendor field.
Use the RIGHT button on your mouse to click on the Vendor text box (where it says "Plumb, ..." above.)
A context menu will appear for the object. Note that the context menu includes the option "Object Permissions"
Use the LEFT button on your mouse to select the Object Permissions menu option.
This opens the Set Permissions for Object form.
In the example above, we have indicated that only a Gallery Director or above can EDIT the vendor field but that Bookkeeping level or above can SEE the vendor field.
