Troubleshooting

Adding Items:

If, upon entering the title, Masterpiece attempts to complete the title for you, and you do not want it to - or if you receive this message: ‘Cannot add new Item/Purchase for Unique Piece that has already been ordered!’…

• Cancel the item entry

• Click Edit on the main menu and make sure both ‘Autolookup’ and ‘AutoFindScreen’ are un-selected.

You cannot edit any of the fields…

• Click on the “edit” button on the Masterpiece tool bar (not the menu).

If, upon saving an item, the artist name disappears or changes…

• Make sure that you have selected an artist from the list of contacts by double-clicking on the artist field. If you simply type the artist name and then save the item, Masterpiece will not add the artist.  If the artist has not already been entered as a contact, click on the artist field, hit CTRL-Enter, and add the artist as a new contact.

• Make sure you press the TAB button after selecting the artist.

If, upon entering the inventory number, you receive this message: ‘Please enter a unique Scan Code!’…

• The inventory number you are entering has already been assigned to an item.

If, upon adding an item you see a pop-up on the top right hand corner generating lots of numbers….

• You need to have a higher # in Artist Scan Code. Tools --> Change Company Settings --> Items Tab. This will allow Masterpiece to make a unique scancode for the artist or piece.

If you receive the ‘Please enter a unique Scan Code!’ message but you can’t find a pre-existing item with that inventory number…

• Masterpiece may have saved that inventory number as a title, but not as a physical item.  Click File --> Find --> Find Title on the menu and search for the item.  If the item is saved as a title and you want to make it an item, you must go to the item screen and click on “new.” Double click on the title area and find the existing title, then select it.

If, upon saving a newly entered item, the item seems to disappear (i.e. the fields come up empty)…

• Masterpiece has saved the item has a title, but not as a physical item.  You must enter the title as an Item for Masterpiece to save the item.  Click File --> Find --> Find Title on the main menu, and locate the title you just created.  

If at any point, you receive a message telling you that parts of the image file are ‘not valid picture file characters’…

• Click ‘Yes’ to allow Masterpiece to remove the invalid characters. Masterpiece picture names should include only Letters and Numbers.

• If you do not get a prompt or wish to remove the prompt, the setting is in tools --> change company settings --> online tab.

If the Art Price and Total Asking Price change when an Art Cost Each is entered or changed, or vice versa…

• Masterpiece is employing a standard mark-up.  Click on Tools --> Change Company Settings on the main menu.  Click the Items tab in the Company Settings window.  Change the number in the ‘Usual Margin’ field to 0.000 if you don’t want a mark-up.  

Finding Items/Transactions/Contacts:

If you cannot find the item or contact you are searching for…

• Check to see if the item title or contact name contains any accents or special characters.  (E.g. if you are searching for José, Masterpiece won’t recognize ‘Jose’.  Try typing ‘Jos’.)

• On the Find Item window, make sure the ‘All Items’ box in the top right-hand corner is checked (rather than the ‘UnSold’ box).

• Make sure you have seen all the search results by scrolling all the way up and down.

• Press the TOP button

• The item may be listed as a Title instead of an Item. Try going to file --> find title.

Printing:

If, upon printing a label, report, or tear sheet, the print job is automatically sent to the wrong printer…

• Make sure to select the ‘Show Printer Prompt’ box at the bottom of the Price/Wall Cards window.

If you are printing a tear sheet, and the item does not appear centered…

• Click Print --> Modify Reports on the main menu.

• Go to the item window, select the tear sheet layout under the ‘Print’ tab, and click the ‘Preview’ button.  The tear sheet template will open.

• Click on the grey image window and move it left, right, up, or down, depending on how the image needs to center.

• Right click on any part of the white space around the grey box, and click ‘Preview’.  You can return to the template and adjust the grey image box as many times as you need to center the image properly.

• When the image is centered, right click on the white space around the grey box and select ‘Print.’

If you get a box that says “open”

• You had a picture on the report template ( your logo, for example ) that has been moved or deleted on your hard drive. Change the “file type” to “all” and locate any picture and select it. This will replace the picture that it is looking for and display the report. You will need to modify the report to display the correct information.

Error # “whatever” and says “variable (something) cannot be found.” On the bottom it says “offending code” then displays the words.

• This means that the report has some code or words in it that is in an incorrect format or does not have it available in the builds. Either the report cannot be used or it has been incorrectly modified. Modify the report or Call/Email tech support.

Website:

If an item has been deleted from Masterpiece, but still appears on the website…

• Go to www.masterpieceonline.com/delete.php

• Fill in

o company ID --> the ID number you get in Masterpiece when you go Help > About Masterpiece

o user name: You can find this in tools --> change company settings --> online tab

o password:  Masterpiece will have to provide you with this password.

o If you still have trouble, Email tech support with the artist, title, title # or artist # that you would like deleted. Also please include your company ID.

• In the archer window below, you must put in an identifying piece of info. Be careful as if you enter a title you will delete ALL titles by that name.  I’d suggest deleting a piece by its ITEM NUMBER – the number that appears in the lower right of the item window.  Another way to check this number is to find the piece on the website and right-click over its thumbnail and select “Properties” – the numbers you see at the end of “address:”, usually a 4 or 5 digit number, will be the Item Number.  Put that number in “Item Number” in the Archer window

• Hit DELETE

If you want to add an item to the website, but the Web Status pull-down menus remain grayed out even after you click the ‘Edit’ button in the toolbar…

• Masterpiece can’t add an item to the website if it has not been assigned to an artist.  For unattributed items, you should make a contact called ‘Unknown Artist’ or something similar. Save the item, then click ‘Edit’ again, and add to the web.

If you make a website change in Masterpiece, but it doesn’t appear on the web…

• Click Online --> Update My Web Site on the main menu, and click the ‘Update’ button.

Transactions:

When going to the transaction screen, it defaults to the scan code screen. You can change this option to start on the title field.

• This option is in tools --> change company settings --> transaction screen. (called Item Entry Start).

The payments tab does not add up correctly…

• This could happen when you add, delete or change an attribute on the item’s tab. You will have to delete payments and click on “add payment” to have Masterpiece recalculate the payments.

Email button does not email the customer a receipt…

• You need to verify that your settings are correct in tools --> change company settings --> online tab. (outgoing mail server and domain). Also verify the user name and password.
